Job Description

Reporting directly to the Chief of Public Safety, and in a support role to the Public Safety leadership team as needed, the Administrative Assistant to the Chief of Public Safety is responsible for administrative support as it relates accurate calendar and scheduling, timely response to general department inquiries, assisting in coordination of meetings, responsible for department communications, dissemination of case reports, and other office administration functions for the department.

  • Responsible for general (non-emergency) department telephone and email communication. [responsible for general PS phone line, assist with Chief's phone, responsible for PS email account, general proof-reading]
  • Assist with phone and other correspondence as needed by the Chief of Public Safety. [Calling internal and external stakeholder to initiate meetings or project follow-up]
  • Assist with Chief of Public Safety with meeting minutes [weekly department meeting minutes, committee meetings, task/follow-up management]
  • Assist the Chief of Public Safety with department metrics and monthly reports.[metrics and KPIs]
  • Assist the Chief of Public Safety in compliance matters. [ASR, Sex Offender Registry, First Responder Binders]
  • Assist with the general Public Safety department calendar, department anniversaries and assist with some related events. [birthdays, holidays, years of service, ceremonies, meaningful dates]
  • Responsible for all office administration functions including reception, mail handling, office supply, etc.
  • Other duties as assigned by the Chief of Public Safety.

Minimum Requirements

  • Outstanding written and oral communication skills.
  • Competency in prioritizing and completing assignments with little supervision.
  • Honest, reliable, and trustworthy.
  • Willingness to sign a Confidentiality Agreement given regular access to sensitive and confidential information.
  • Willing to adhere to all organizational policies, relevant departmental policies, and doctrinal requirements of the Institute.
  • Proficiency with Adobe Acrobat and Microsoft Office Suite (Teams, Word, Outlook, PowerPoint, and Excel).
  • Able to work in the US legally without sponsorship.

Preferred Requirements

  • Experience working in proximity with law enforcement, occupational safety, or campus safety.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This is a part-time position based at the Chicago, IL main campus. While we prefer this role to be a local hybrid role requiring someone to be in the office at least two days per week, a fully remote option is available depending on the candidate.
